Job Description

The Assistant Editor (IODP Title: Editor II), under supervision, will edit and proof expedition publications and other program materials. Coordinate with members of the graphics and production sections to promote consistency throughout each publication. Apply standard formats, style guidelines, and workflow procedures. Coordinate at least one area for the Editing section.

Required Education and Experience:

  • Bachelor’s degree in language or science or equivalent combination of education and experience.

  • Two years of related experience in technical writing, editing, proofreading, and updating electronic content.

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others.

  • Excellent verbal and written communication skills.

  • Demonstrate teamwork and initiative.

  • Demonstrate a service-oriented attitude in all interactions.

  • Knowledge of word processing and spreadsheet applications.

  • Electronic editing.

  • Excellent proofreading and copyediting skills.

  • Detail oriented, organized, and able to follow through to the end of a project.

  • Thorough knowledge of American English usage and grammar.

Preferred Education and Experience:

  • Master's degree in science, language, journalism, or related or equivalent.

  • More than two years of related experience in technical writing, editing, proofreading, and updating electronic content.

Preferred Knowledge, Skills, and Abilities:

  • Familiar with scientific ocean drilling or background in ocean sciences.

  • Working knowledge of FrameMaker, Acrobat, Illustrator, and/or other publishing tools.

  • Familiar with Information Mapping/technical writing techniques.

  • Familiar with XML and/or HTML coding.

  • Experience with IODP publications.


  • Edit volume materials from riser, riserless, and mission-specific expedition platforms for consistency, style, and grammar.

  • Understand and implement publication department workflow and apply IODP style to text, tables, and figures.

  • Host groups of scientists for week-long editorial postcruise meetings: explain and run the meeting workflow, answer editorial questions, confirm table and graphics change requests, approve text corrections, and make sure all volume material is reviewed by scientists.

  • Prepare chapter galleys for authors to review, and approve author changes.

  • Prepare volume tables as CSV, ASCII, or TXT to be included with the electronic volume.

  • Ensure volume front matter and contents are complete and correct.

  • Research assigned topics such as journal publisher initiatives for peer review models, metadata elements, digital readability, and workflow.

  • Learn additional editorial tasks that are beyond the basics.

  • Train Editorial Assistants on basic formatting and editing tasks.

  • Help develop written procedures and advanced software as assigned.

  • Coordinate one or more editorial section task.

  • Organize and maintain publications files to preserve version control.

  • Maintain activity, time, and leave records.

  • Work with graphics and production sections to promote consistency throughout each volume; take the lead in documenting and enforcing volume style.

  • Proof table, figure formatting, corrections, and final volume materials for style and consistency and approve for publication.

  • Review and approve online publications in HTML and PDF.

  • Perform other duties as assigned.
