SUMMARY

The Publishing Production Associate is responsible for coordinating with the Publishing Production Manager, Legal Editors, and Proofreaders to ensure that PLI’s publications are produced on schedule. Tasks include, but are not limited to, collection and organization of treatise materials; coordinating production with third party vendors; managing digital files; updating and distributing book schedules and transmittal sheets; quality control (QC) of outsourced production process; assisting with the delivery of published content to internal and third party platforms and databases; coordinating the delivery of content to various recipients; QC of published content; and formatting and styling content in Microsoft Word and Adobe InDesign.

KEY RESPONSIBILITIES

  • Coordination of publication production under the supervision of the Publishing Production Manager to ensure that content is created, and publications produced on time.

  • Collection and organization of digital and hard copy book files received from external vendors and PLI’s Legal Editors.

  • Delivering files to, and assisting in coordinating the work of, members of PLI’s internal book production team.

  • Assembling book components, including book covers, chapter files, and customer filing instructions; delivering completed books to the printer.

  • QC of book content to ensure that books have been properly assembled.

  • Composition using the Adobe Suite (InDesign, PhotoShop, Acrobat, Framemaker), and Microsoft Office programs (Word, Excel, Outlook).

  • Requesting RTF/Word and XML files from production vendor, managing received files and preparing files for internal distribution.

  • QCing and applying minor fixes to PDF files prior to transmission to printer.

  • Reporting content issues requiring vendor attention to vendors, and seeing issues through to an optimal conclusion.

  • Scanning files for distribution to third parties using a Xerox scanner.

  • Other duties, as assigned.

QUALIFICATIONS AND REQUIREMENTS

  • A Bachelor’s Degree or equivalent experience.

  • Two years of relevant experience working in the publishing industry is preferred.

  • Excellent composition, editorial and proofreading skills.

  • Strong knowledge of Microsoft Office (Word, Outlook, Excel, etc.).

  • Working knowledge of typesetting, layout, and publishing software, such as InDesign, preferred.

  • Exposure to publishing file formats and file transformations, such as XML, XSLT, ePub, and Mobi, a plus.

  • Excellent organizational, communication and interpersonal skills.

  • Close attention to detail.
