Within the Global Science Technical Medical Journals division we are looking for a Team Coordinator for a Publishing Support Team Editorial Contracts and Payments . This team (6fte) provides support to assigned journal portfolios, by creating and maintaining editorial contracts, coordinating the budgeting process for editorial fees and administering editorial payments with the ultimate goal to support the acquisition, maintenance and development of high quality content. The Team Coordinator delivers positive contribution to overall team performance and process improvements and supports the team in their activities for about 40% of the time.

You will be based in Amsterdam and report to the Teamleader Publishing Services

Your responsibilities

Team coordination

  • Coordinate team planning and workload management

  • Monitor progress against targets using agreed KPI’s and reports

  • Organize optimal team collaboration

Contribution to best practices, system development and process improvement

  • Contribute to continuous process improvement

  • Provide training and support for the (new members) of the team as well as for new publishers that are supported by your team

  • Maintain efficient central filing system according to the agreed standards

  • Liase with the Financial Shared Service Center to efficiently resolve system and process related issues

Administration and maintenance of Editorial Contracts and Payments

  • Create and maintain compliant editorial contracts for assigned journals using the Contract Management System, send and chase contracts for signing

  • Accurately administer payments of editiorial fees and royalties to societies, editors and contributors in a timely fashion via Oracle Editorial Fees system

  • Investigate and solve issues

  • Advise publishers and external customers on payment related queries

Develop and maintain relations with publishers and other internal stakeholders

  • Establish productive collaboration with the publishing unit by developing and maintaining a clear understanding of assigned portfolios and their requirements

  • Support development of the assigned journal portfolio’s by developing and sharing knowledge and tackle issues

Set up of Financial Arrangement Sheets and Budget management

  • Create in a timely fashion annual Financial Arrangement sheets in accordance with budgets and contractual obligations

  • Closely collaborate with publishers on Financial Arrangement sheets and budget creation process

  • Monitor the budget spend and highlight inconsistencies

What you should bring

  • Educated to Bachelor degree level

  • Minimum 1 – 2 years relevant management experience

  • Relevant experience in Administration, Contracts and Payments, preferably as a Teamlead / Supervisor

  • Experience in working with CRM-alike systems and workflow tools

  • Excellent communicator, customer focus, teamspirit

  • Experience working in the international context

  • Excellent English language skills required (both verbal and written)

  • Eye for business and process improvements
